Do we need three quotes for all items on the application, and how do we retrieve three quotes?

Yes. All requested items require three quotes. The purpose of this requirement is for applicants to demonstrate due diligence in ensuring competitive pricing. To meet this requirement, applicants must provide three quotes in total: one quote from the recommended or selected vendor and two comparable quotes from other vendors. Each quote should include the total cost, including any delivery or shipping fees, so pricing can be compared accurately.

Can grant funding be applied to purchases that have already been made?

Grant funding cannot be backdated for purchases made before grant funds were awarded and distributed. Grant funds may only be used to cover eligible expenses incurred after the funds have been awarded and distributed.

Can applicants write down prices for the required quotes, or must they submit documentation?

Applicants must submit documentation for the items being requested. Written price lists or handwritten notes are not sufficient on their own. Documentation should show the vendor, item description, price, and any applicable delivery or shipping fees so the requested items and total costs can be reviewed and compared.

What are acceptable quotes for fresh produce purchases?

Here’s some guidance on acceptable quotes which may help. They can include any of the following:

• Written quote or estimate from a local produce wholesaler, grocery store, farm, or food hub
• Vendor price list
• Emailed vendor quote
• Itemized online quote, shopping cart or screenshot showing the vendor name, sample items, prices and date
